Terms of Use

Last updated: 1 January 2026

Acceptance of terms

These Terms of Use ("the Terms") govern your use of the official email system of Ireti Ogo Baptist College ("the College", "we", "our"), accessible at mail.iretiogobaptistcollege.com and through any mailbox address issued on the @iretiogobaptistcollege.com domain.

By signing in to the mail system, by sending or receiving a message through it, or by otherwise using any part of it, you agree to be bound by these Terms and by our Privacy Policy. If you do not agree with any part of these Terms, you must not use the system.

In short: this is the College's own mail system, provided for official College correspondence. Use it responsibly, keep your password private, and do not use it for anything unlawful or harmful to the College community.

Who may use the system

Mailboxes are issued at the discretion of the College to members of its community, including:

  • Members of staff and faculty;
  • Enrolled students;
  • Parents and guardians of enrolled students;
  • Departments and offices of the College administration (for example, the Principal's office, Bursary, Registrar, Admissions and ICT);
  • Authorised representatives of the College acting in an official capacity.

Mailboxes are personal and non-transferable. You may not allow another person to use your mailbox, nor may you use a mailbox that has not been issued to you.

Your account

You are responsible for:

  • Keeping your password confidential and secure;
  • Choosing a strong, unique password that is not reused on other services;
  • Ensuring that the information associated with your account remains accurate;
  • Notifying the ICT Department immediately if you believe your account has been compromised;
  • Signing out of the system when using a shared or public device.

The College may issue, modify or revoke access to any mailbox in accordance with its internal policies — for example, when a student graduates or a member of staff leaves the College.

Acceptable use

The mail system exists to support the official work and communication of the College. Acceptable uses include:

  • Correspondence between members of the College community and with external parties on College business;
  • Communication with students' parents and guardians regarding academic and administrative matters;
  • Coordination between departments and offices;
  • Any communication that a reasonable person would consider consistent with the College's mission and values.

Reasonable personal use of your College mailbox is permitted where it does not interfere with your duties, place a burden on the system, or bring the College into disrepute.

Prohibited conduct

You must not use the mail system to:

  1. Break any applicable law, including laws on harassment, fraud, defamation, or data protection;
  2. Send unsolicited bulk messages ("spam") or any message that could reasonably be considered spam;
  3. Distribute malware, phishing attempts, or links to malicious content;
  4. Impersonate another person or falsely represent your identity or affiliation;
  5. Harass, threaten, defame, or abuse any other person;
  6. Distribute obscene, discriminatory, or otherwise unlawful material;
  7. Attempt to gain unauthorised access to any account, system, or network connected to the College;
  8. Interfere with the normal operation of the mail system, or attempt to do so — including denial-of-service attempts and unauthorised probing;
  9. Use the system for commercial activity unrelated to the College, or for personal financial gain, without the College's written permission;
  10. Share confidential College information with unauthorised persons.
Serious violations may result in immediate suspension of your mailbox, disciplinary action under the College's staff or student policies, and — where appropriate — referral to the relevant authorities.

Content & ownership

Mailboxes are provided by the College as a tool for College communication. Messages you send and receive through the College mail system are stored on the College's systems and may be retained in accordance with the Privacy Policy.

You remain responsible for the content of the messages you send. You must not assume that a message sent through the College system is private in the same way a personal email would be — the College may access mailbox content when required for the limited reasons set out in the Privacy Policy (for example, to respond to a legal request or to investigate a security incident).

Attachments and files you send or receive remain the property of their respective owners. Nothing in these Terms transfers ownership of any intellectual property.

Security responsibilities

The College operates the mail system with reasonable care, applying industry-standard measures to protect your account and its contents. You, in turn, are responsible for your own use of the system — including:

  • Not sharing your password with anyone;
  • Not signing in from untrusted devices or networks when handling sensitive College business;
  • Reporting suspicious emails (for example, phishing attempts) to the ICT Department;
  • Reporting any suspected breach of your account immediately.

The College is not responsible for losses you suffer as a result of your own failure to keep your account credentials secure.

Monitoring & disclosure

The College does not routinely monitor the content of your mailbox. Routine administrative access happens only when required for a specific and documented reason — for example:

  • Recovering an account for the mailbox owner;
  • Investigating a reported security incident;
  • Responding to a valid legal request;
  • Protecting the safety of a member of the College community.

Technical and security information — such as sign-in records and IP addresses — is logged automatically and used for abuse prevention, auditing and troubleshooting, as described in the Privacy Policy.

Availability & support

The College aims to keep the mail system available and reliable, but it is provided on an "as-is" and "as-available" basis. We cannot guarantee that the system will be free from interruption or error. Scheduled maintenance or unexpected outages may temporarily interrupt service.

Support for the mail system is provided by the ICT Department. Requests for assistance, password resets, or reports of faults should be directed to ict@iretiogobaptistcollege.com.

Suspension & termination

The College may suspend or terminate access to the mail system, without prior notice, if it reasonably believes that:

  • These Terms have been breached;
  • The account has been compromised or is being used for unauthorised purposes;
  • Continued access would place the College, its community, or its systems at risk;
  • Your relationship with the College has ended (for example, on graduation or resignation).

Where reasonably possible, the College will give you notice and an opportunity to retrieve the contents of your mailbox before it is deactivated.

Limitation of liability

The mail system is provided free of charge as part of your association with the College. To the fullest extent permitted by law:

  • The College does not warrant that the system will be uninterrupted, error-free, or free from loss of data;
  • The College is not liable for any indirect or consequential loss arising from your use of, or inability to use, the system;
  • The College is not responsible for the content of messages sent or received by users, or for the actions of third parties;
  • You are responsible for maintaining your own copies of any message or attachment you consider important.

Nothing in these Terms limits any liability that cannot lawfully be limited.

Changes to these terms

The College may update these Terms from time to time — for example, if the mail system changes, if the College's policies change, or if legal requirements change. The date at the top of this page will always indicate when the current version was published.

Material changes will be communicated to users of the mail system through a notice within the system itself. Continued use of the system after a change is published constitutes acceptance of the revised Terms.

Governing law

These Terms are governed by the laws of the Federal Republic of Nigeria. Any dispute arising in connection with the mail system shall be subject to the exclusive jurisdiction of the courts of that jurisdiction.

If any provision of these Terms is held to be unenforceable, the remaining provisions shall continue in full force and effect.

Contact

For any question about these Terms, or to report a suspected breach, contact the ICT Department.
